What each kind of mail says, when it comes, who receives it, and which kinds you can stop.
There are nine kinds of mail. Two things decide all of them: where your mail is sent, and what you have already stopped.
Where mail reaches you
Preferences holds two switches under Notify me on: Email and Slack. Slack here means one private channel that echoUX has been invited to.
Each switch that is on carries every kind of mail. With one switch on you receive each message once. With both on you receive it in both places.
With both switches off, three things still reach you by email. The mail described under "When something needs your attention", but only the facts about your account, not the facts about a topic. The mail about closing your account and about your data being deleted. And any mail that is meant for one person only.
What you can stop
There are three ways to stop mail, and each one stops a different amount of it.
Turn both switches off under Notify me on. Everything stops except the three things named above.
Turn a topic off under Notify me about in Preferences. The two labels are one word apart and do different jobs: Notify me on decides where your mail is sent, Notify me about decides which topics you hear about. Turning a topic off stops every kind of mail about that one topic and leaves your other topics as they were. You can turn a topic back on in the same place.
One exception: if you staked an assumption on that topic, this does not stop the mail described under "When an assumption's verdict changes" for you. Stop tracking the assumption on its topic page instead.
Select stop notifying me, the link beside a topic's name in the last line of the mail described under "When something needs your attention". A page opens and asks you to confirm. This does the same thing as turning that topic off under Notify me about.
Select Stop my monthly summary for Acme Stays, the link at the foot of the monthly statement, which carries your own topic's name. A page opens and asks you to confirm. This is the one route that stops a single kind of mail: the statement for that one topic stops, and your other mail about that topic is unchanged.
Two kinds cannot be stopped by any route: the mail about closing your account and about your data being deleted, and the mail that is meant for one person only. The facts about your account inside the mail described under "When something needs your attention" cannot be stopped either.
When something needs your attention
This mail carries the facts that concern you at that moment, the most important one first.
A fact is about your account or about one topic. About your account: a payment that failed, a trial that ended, or feedback volume near or at its limit. Also your account being scheduled to close, with the date its data is deleted, and a tool that could not be connected from our side.
About a topic: a source that could not be reached, a destination that could not be delivered to, a cycle that failed, or a topic that nobody is notified about. A cycle is one pass over a batch of feedback.
It comes only when the facts that concern you change: a fact was added, or an existing fact became more serious. No mail is sent when a fact stops being true.
Facts about your account are sent within minutes. Facts about a topic are sent at 08:00 UTC, at most once a day. Account facts and topic facts are never in the same email.
Facts about your account go to everyone on the account. Facts about a topic go to the people who have that topic switched on under Notify me about.
When your first finding is delivered
This mail goes to the person who asked for it, and to nobody else. The request is made once, at the end of setting up, by selecting Email me when the first discovery artefact lands. That box starts empty, so this mail is never sent to a person who did not ask for it.
It comes once, at the moment the first finding reaches a destination. No mail is sent for later findings, on that topic or on any other.
When an assumption's verdict changes
Your AI tool can ask echoUX to keep track of one statement, called an assumption, on one topic. echoUX re-examines it every time that topic reads new feedback, and this mail goes out when its answer changes.
It goes to the people who have that topic switched on under Notify me about, and to whoever staked the assumption, even when they are not one of those people.
Turning the topic off does not stop it for the person who staked the assumption: echoUX cannot tell someone who was never on the topic from someone who left it, so they keep receiving this mail either way. To stop it for them, stop tracking the assumption on its topic page. Turning the topic off does stop it for everyone else who was receiving it.
At the start of every month
You receive a statement when your account had an active subscription before that month began. Each person gets one statement, covering only the topics they have switched on under Notify me about. When none of those topics has anything to report, no statement is sent.
To stop it for one topic, use the link at the foot of that topic's block, described under "What you can stop".
During your trial, and when you are charged
All of this goes to admins only. An admin is a person whose role is admin, which is set on the Users page.
Before the trial ends you may be offered one extension, taken from your billing page. It is offered when no findings have arrived yet and you have not used it before.
A payment that fails is not a separate email. That fact arrives in the mail described under "When something needs your attention".
To stop all of it, turn both switches off under Notify me on.
When you close the account
When you ask to close the account you receive a mail. It gives the date the account closes, the date the data is deleted, and a link to export your data before then.
It goes to everyone on the account and cannot be stopped.
When your data export is ready
You can select Request a data export on Billing at any time, not only when you close the account.
When the export is ready, the mail goes only to the person who asked for the export.
To stop it, turn both switches off under Notify me on.
When an AI tool is connected or disconnected
This mail goes to admins only. To stop it, turn both switches off under Notify me on.
When mail is meant for one person only
This mail is about one email address and reaches only the person who holds it. It always comes by email, even when Slack is on, and none of it can be stopped. Every link in it expires, and each mail says when.
When you change your sign-in email to an address that already belongs to another echoUX account, nothing changes.
